Executive Assistant – Investor Relations Team – Frankfurt (m/w/d)
A fantastic opportunity has arisen for an Executive Assistant to join a leading global investment firm’s Investor Relations team in Frankfurt, based in the heart of the Bankenviertel.
The team manages relationships with institutional investors, family offices, and other key stakeholders across the DACH region and globally. They play a central role in fundraising, capital deployment updates, and ongoing communication with limited partners. As Executive Assistant, you will become a visible, trusted member of this dynamic, client-facing function.
Key Responsibilities
- Provide high-level support to a Managing Director, a Principal, and two Analysts.
- Manage complex diaries, travel arrangements, and logistics (approx. 30% of the role).
- Organise and coordinate a high volume of roadshows, conferences, and client events across Germany, Austria, and Switzerland.
- Attend selected events to ensure seamless execution and strong client engagement.
- Liaise with client relationship managers and portfolio managers on private equity investment activities.
- Maintain and update the CRM system (Salesforce), ensuring accurate tracking of meetings, events, and follow-ups.
- Manage expenses (Concur) and diary workflows (Outlook).
- Support major global projects, including two annual conferences and a flagship infrastructure summit in Berlin.
- Represent the team with professionalism, building strong internal and external relationships.
Requirements
- Fluent German and strong English, with excellent written communication in both.
- Proven history in an Executive Assistant or events role within a global investment firm.
- Degree educated is desired or equivalent experience in a similar role.
- Exceptional organisational skills and the ability to manage high-volume scheduling across multiple cities.
- Strong emotional intelligence and the ability to anticipate needs in a fast-paced, strategic environment.
- Confident, polished presence in client-facing situations.
- Ability to balance event coordination, client priorities, and administrative responsibilities.
- Flexibility to work beyond standard hours during events.
- Willing to learn new systems, becoming advanced in Salesforce, Concur, and Outlook.
