This role offers the opportunity to provide high‑quality administrative and organisational support to a dynamic group of five investment professionals up to Managing Director level.
You’ll support a pan‑European team based across 4 different countries, giving you exposure to a broad range of stakeholders and working styles.
Working from their Frankfurt office, you’ll join an established, highly collaborative group of Assistants who partner closely with Investment team colleagues across Germany. This environment is ideal for someone who enjoys being part of a supportive team while also taking pride in their own independent contributions.
As an Assistant, you will play a vital role in ensuring the smooth, efficient day‑to‑day running of the team you support — becoming a trusted organisational anchor and a key contributor to their global EA community.
Responsibilities
In this role, you will provide essential support that ensures seamless day‑to‑day operations for professionals at all levels. Key responsibilities include:
- Delivering proactive, dependable executive support to colleagues across varying seniority levels.
- Managing complex diaries end‑to‑end, including scheduling internal and external meetings, anticipating clashes, and optimising time effectively.
- Coordinating meetings with precision—handling logistics, preparing materials, and ensuring all information is distributed in advance.
- Organising domestic and international travel, including flights, accommodation, ground transport, and detailed itineraries.
- Processing expenses accurately and efficiently in line with company policies.
- Collaborating closely with Assistants, EAs, and global coordinators to support roadshows, investor meetings, and wider team initiatives.
- Acting as a trusted point of contact for internal stakeholders and external clients.
- Building and maintaining a curated directory of reliable hotels, restaurants, bars, and coffee spots across key European cities to support team travel.
Personal Characteristics
This role requires meticulous attention to detail, sound judgement, and a proactive approach. You should take ownership of your work while thriving in a collaborative, high‑performing EA community. The ideal candidate demonstrates the following:
Experience
- At least 2 years' experience as a team assistant, executive assistant or similar position.
- Written and spoken fluency in German and advanced English; proficiency in French is a plus but not essential.
- Experience in a fast‑paced, complex organisation—ideally within financial or professional services, but other sectors will be considered.
- Proven ability to manage tight deadlines, balance competing priorities, and remain calm and organised under pressure.
- Experience supporting multiple stakeholders simultaneously, with varying seniority and expectations.
- Strong track record in diary management, meeting coordination, travel organisation, and expense processing.
